Required Qualifications:
- Education: Postgraduate Diploma in Management (PGDM) and MBA Background will be given preference.
- Experience: Minimum of 2 years of experience in a similar role, preferably supporting senior executives.
Preferred Qualifications:
- Experience working in the corporate or education sector.
- Familiarity with project management tools and software.
- Experience in dealing with high-profile clients and stakeholders.

Job Summary:
The Personal Secretary (PS) to Higher Management will provide high-level administrative support and manage day-to-day operations for senior executives. The role requires excellent organizational skills, confidentiality, and the ability to handle complex tasks efficiently. The ideal candidate will have a PGDM background with 2 years of relevant experience.
Key Responsibilities:
Administrative Support:
· Manage executive calendars, appointments, meetings, and travel arrangements.
· Screen incoming calls, emails, and correspondence, responding to or directing them as necessary.
· Prepare meeting agendas, take minutes, and distribute them promptly.
· Coordinate internal and external meetings, ensuring all arrangements (venue, materials, technology) are in place.
2. Documentation and Correspondence:
· Draft, edit, and proofread emails, memos, reports, and other official documents.
· Maintain confidential files, records, and databases with accuracy.
· Handle documentation for projects and ensure timely submission of reports and other deliverables.
3. Project Assistance:
· Assist in the planning and execution of key initiatives led by senior management.
· Coordinate between departments to follow up on pending tasks and ensure deadlines are met.
· Research and prepare presentations, summaries, and reports for senior management.
· Event Coordination:
· Organize company events, conferences, and seminars for the management team.
· Liaise with vendors and service providers for event logistics and ensure smooth execution.
4. Travel Management:
· Arrange detailed travel itineraries, including flights, accommodation, and ground transportation for management.
· Ensure all necessary travel documents (visas, tickets, etc.) are in place.
5. Client and Stakeholder Relations:
· Maintain positive and professional communication with clients, stakeholders, and senior executives.
· Manage relationships with external and internal parties, ensuring effective communication.
6. Office Management:
· Oversee the smooth operation of the executive office, ensuring supplies, equipment, and other essentials are maintained.
· Assist in the onboarding of new team members within the executive office as required.
Skills:
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain discretion and confidentiality in handling sensitive information.
- Strong attention to detail and ability to work under pressure in a fast-paced environment.
- Problem-solving skills and the ability to take initiative when needed.
